Duties of the Administrative Office

         1. Assist the president in understanding and studying the administrative work of the university as well as gathering reliable information and data by conducting investigations into grassroots organizations so as to provide advisory opinions and good advice to leaders in their decision-making.

        2. Responsible for drafting administration plans, reports, summaries, resolutions and notices for the entire university; for formulating university administration rules and regulations and for keeping track of their implementation; and for issuing bulletins and notices related to administrative affairs on behalf of the university, etc.; take care of documenting and organizing university events.

        3. Responsible for organizing and arranging executive meetings; keeping records of meeting minutes; delivering meeting summaries as needed; inspecting the implementation of relevant meeting decisions; and organizing the drafting of work plans by various departments.

        4. Responsible for handling administrative documents for the whole university.

         5. Responsible for organizing and coordinating comprehensive work jointly conducted by several departments.

        6. Assist the president in organizing administrative meetings university wide and launching significant activities.

        7. Responsible for arranging visits and receptions for upper level authorities and other universities and colleges as well as acting as liaison with other institutions.

        8. Responsible for printing documents, receiving and dispatching official letters and confidential communications for the whole university, and managing the university’s postal system.

        9. Responsible for managing the school administration’s seal and steel stamp, as well as the administrative leaders’ private seals, and is responsible for issuing administrative letters of introduction to other institutions.

        10. Responsible for regularly collecting, filing, archiving, counting, storing, utilizing and safeguarding secretarial documents for the entire university, as well as managing the university’s comprehensive archive.

        11. Responsible for collecting statistics and information, completing the university’s comprehensive statistical report, as well as gathering, sorting and exchanging relevant information so as to gradually establish and improve the information network.

        12. Responsible for decorating sites for important activities with lanterns, streamers and the national flag. as well as for organizing and arranging relevant affairs.

        13. Responsible for the management of the offices of administrative leaders, school meeting rooms and the Tian Jia Bing Teaching Building lecture hall.

        14. Responsible for receiving and handling visits and letters from the masses from both within and without the university, as well as making note of complaints from students, so as to punctually report them to leaders in charge.

        15. Responsible for all other work assigned by the university authorities.
